OFFLINE Pilates LLC (“we,” “us,” or “our”) is a classical Pilates studio based in Palo Alto, California. We are committed to protecting and respecting your privacy. This Privacy Policy explains how we collect, use, store, and safeguard your personal information when you visit our studio, use our website (offlinepilates.com), book sessions through our scheduling and studio management platform (Mariana Tek), or otherwise interact with our services.

By using our services, visiting our studio, or accessing our website, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with the practices described herein, please do not use our services.

2.1 Information You Provide Directly

When you book a session, create an account, complete an intake form, or communicate with us, we may collect the following personal information:

  • Billing address and payment information (processed securely through our third party payment processor; we do not store your full credit card details)

  • Health and medical information you voluntarily provide on intake forms, including injury history, physical limitations, surgical history, pregnancy status, and any relevant medical conditions

  • Photographs or videos taken during sessions (only with your prior written consent)

OFFLINE Pilates does not currently collect biometric information such as fingerprints, facial recognition data, or voiceprints. If we ever implement biometric technologies (for example, for studio entry), we will update this Privacy Policy and obtain your separate, explicit consent before collecting any biometric data, in accordance with applicable California law.

4. Health and Medical Information

Classical Pilates instruction requires us to understand your physical condition so we can teach safely and effectively. The health information you share on intake forms and during sessions (such as injury history, surgeries, chronic conditions, or pregnancy status) is treated with the highest level of care.

We use this information solely to tailor your Pilates instruction and ensure your safety. This includes our instructors’ professional judgment to modify exercises, adapt equipment settings, or, where necessary, decline to provide instruction if a disclosed health condition presents an unacceptable safety risk. In such cases, we may recommend that you obtain medical clearance before continuing sessions.

We do not share your health information with third parties unless required by law or with your explicit consent. Your health details are stored securely and accessible only to your instructor(s) at OFFLINE Pilates.

Please note: We are not a healthcare provider, and the health information we collect is not subject to HIPAA. However, we voluntarily apply strict confidentiality standards to all health related data in our care.

5. How We Share Your Information

We do not sell, rent, or trade your personal information to third parties for their marketing purposes. We may share your information only in the following limited circumstances:

Service Providers: We work with trusted third party service providers who help us operate our business, including Mariana Tek (scheduling, booking, and studio management), payment processors, email marketing platforms, and website hosting providers. These providers are contractually obligated to use your data only to perform services on our behalf and to maintain its confidentiality.

Health and intake form data is retained for the duration of your active client relationship and for a period of seven (7) years thereafter to meet insurance and professional liability requirements.

Billing and transaction records are retained for a minimum of seven (7) years to comply with tax and financial reporting obligations.

We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. Our services are designed for adults. We do not knowingly collect personal information from individuals under the age of 18. If you believe we have inadvertently collected information from a minor, please contact us immediately and we will take steps to delete it.

11. Our Phone Free Studio Environment

OFFLINE Pilates operates as a phone free studio. Personal devices are stored in designated areas during sessions. This policy is fundamental to our practice philosophy. We do not monitor, access, or collect any data from personal devices stored in our studio. OFFLINE Pilates is not responsible for the loss, theft, or damage of personal devices stored in designated areas.

12. Third Party Links and Services

Our website or communications may contain links to third party websites or services (such as social media platforms, Mariana Tek, or payment providers). We are not responsible for the privacy practices of these third parties. We encourage you to review the privacy policies of any third party site you visit.

13. Do Not Track Signals

Some web browsers transmit “Do Not Track” signals to websites. We honor Global Privacy Control (GPC) signals as a valid opt out request under California law. For other “Do Not Track” signals, there is currently no industry standard for how websites should respond. We do not currently alter our data collection or use practices in response to non GPC “Do Not Track” signals.

We may update this Privacy Policy from time to time to reflect changes in our practices, legal requirements, or business operations. When we make material changes, we will update the “Last Updated” date at the top of this document and, where appropriate, notify you by email or through our website.
